We are looking for a highly organized and detail-oriented Transaction Coordinator to support our real estate team. In this role, you will oversee the administrative side of each transaction from the moment a contract is executed through to closing day; ensuring nothing falls through the cracks, all deadlines are met, and every party involved has a smooth and stress-free experience. In this role, you will: 

  • Manage transaction files from contract to close: Open and maintain complete, compliant transaction files for each deal, tracking all required documents, contingency dates, and closing timelines with precision.
  • Coordinate communication between all parties: Serve as the central point of contact for buyers, sellers, agents, lenders, escrow officers, and inspectors — facilitating timely and clear communication throughout the transaction.
  • Track and manage deadlines and contingencies: Monitor all contract deadlines including inspection periods, loan contingencies, and closing dates, proactively following up to ensure nothing is missed or delayed.
  • Prepare and review transaction documents: Assist in the preparation, review, and distribution of contracts, addenda, disclosures, and other required paperwork in compliance with local real estate regulations.
  • Liaise with escrow and title companies: Coordinate with escrow and title officers to ensure all documentation is submitted on time and that the closing process proceeds without issue.
  • Update and maintain CRM and transaction management systems: Keep all transaction data, notes, and statuses current in platforms such as Dotloop, Skyslope, or similar tools to ensure full visibility across the team.

Essential Skills & Qualifications:

  • Proven experience: Demonstrated experience as a Transaction Coordinator, real estate assistant, or in a similar administrative role within a real estate environment.
  • Real estate knowledge: Strong understanding of real estate contracts, transaction timelines, disclosure requirements, and escrow processes.
  • Attention to detail: Exceptional ability to review documents carefully, catch errors, and ensure full compliance at every stage of the transaction.
  • Communication skills: Clear and professional written and verbal communication, with the ability to manage multiple stakeholders and keep everyone aligned throughout the process.
  • Technology proficiency: Comfortable working with transaction management platforms, CRM systems, e-signature tools (e.g., DocuSign), and standard productivity software.

Preferred Qualifications:

  • Real estate license: A valid real estate license or relevant certification is an advantage, though not required for this role.
  • Experience with transaction platforms: Familiarity with tools such as Dotloop, Skyslope, or Command for managing transaction files and compliance checklists.
  • Multilingual proficiency: Ability to communicate in multiple languages to better serve buyers and sellers from diverse backgrounds.
